Inventory reconciliation is a crucial part of running a smooth appliance business. It ensures the quantities in your system match what you physically have in your warehouse, helping prevent overselling, stock discrepancies, and fulfillment delays.
In Appliance.io, inventory reconciliation is designed to be simple and efficient. We recommend completing this process weekly to maintain accurate stock levels and full visibility across your inventory.
๐ Accessing Inventory Reconciliation
To get started, navigate to your Inventory page. At the top-right corner of the screen, click Reconcile Inventory. This will open the reconciliation flow where youโll create and manage your inventory worksheets. ๐ก Pro Tip: While you can organize your warehouse however you like, a best practice is to group inventory by appliance category first, then by brand. For example, store all microwaves in one area, then organize them by brand within that section. This makes counting faster and more accurate.๐งพ Creating a Worksheet
A worksheet is where you record what you physically have in stock. When creating a worksheet, youโll be prompted to enter:- Location
- Storage Location (optional)
- Category
- Brand
- Condition
๐ Scanning & Entering Inventory
Next, choose how you want to add inventory items:- Use a scanner gun for faster counting, or
- Enter model numbers manually
- Scan or enter the model number
- Enter the quantity you physically have in stock
๐พ Saving the Worksheet
Once all physical inventory has been entered, click Save to Worksheet. Your worksheet is now stored and ready for matching against warehouse inventory.๐ Matching Inventory
Navigate to the Worksheet tab. Find the worksheet you just created and click Match. From here:- Click the Edit button on the Available column to enter Warehouse quantities

Select + Add Stock and input:
- Quantity
- Cost per unit
- Storage location
๐ Reviewing & Balancing Quantities
After matching, review your inventory totals carefully. Your:- Quantity Scanned
- In Warehouse
- Available
- Use the Edit button in the Reserved column to balance totals
- If In Warehouse exceeds the Quantity Scanned, simply delete the extra stock to make them match
๐จ๏ธ Printing, Logs & Worksheet Details
Need a physical copy of your count? Click Print to generate a printable worksheet. The Log tab records all worksheet edits, giving you a full audit trail. You can also:- Set the worksheet date you want to view

Click Expand to see detailed information, including:
- Model
- Category
- Location
- Quantity Scanned
- In Warehouse
- Available
- Reserved
