The Payment Breakdown Report in Appliance.io gives you a clear view of how customers are paying โ€” whether by credit card, bank transfer, cash, or other methods. It helps you track totals across payment types, understand deposits and credit line payments, and analyze fees, so you always know where your money is coming from. The report that comes here is based on payments that came in. This also applies to add-ons payments and returns.

๐Ÿ“ Accessing the Report

  • From the sidebar, click Reports
  • Select Payment Breakdown Report
At the top, youโ€™ll find five filters to narrow your results:
  • Date
  • Payment Method
  • Location
  • Sales Person
  • Exact Amount
Need to start fresh? Click Reset Filter to clear everything. You can also export the report to PDF, Excel, or CSV with a single click.

๐Ÿ“Š Main Report View

The main report displays three key columns:
  • Payment Type
  • Number of Payments
  • Total
For the default report when you open the Payment Breakdown Report, there will be the Payment Types that have been used for that day (e.g., AIO Pay - Credit Card, Financing - Acima, Manual Entry - Cash, etc.). Clicking on a payment type opens the detailed view of every payment that uses that type.

๐Ÿ”Ž Detailed View & Extra Filters

Inside the detailed report, youโ€™ll see two additional filters:
  • Search by Order Number
  • Payment Application
Payment Application breaks down into three types:
  • Deposit Made to a Quote โ†’ Partial payments (still a quote), recorded under Deposit โ€“ Refundable Deposit Account
  • Payment Made to a Credit Line โ†’ Reduces a customerโ€™s credit line balance (tracked separately from orders)
  • Payment Made to an Order โ†’ Full payment
This also applies to add ons payment.

The detailed view provides a full breakdown with ten columns:
  • Payment Date
  • Order Number
  • Customer Name
  • Location
  • Recorded By
  • Payment Method
  • Payment Application
  • Transaction ID
  • Notes
  • Gross
๐Ÿ’ณ If the payment was made via AIO Pay, two extra columns appear:
  • Fee โ†’ The AIO Pay processing fee
  • Net โ†’ The actual amount received after fees

With the Payment Breakdown Report, you can track every type of payment in detail โ€” whether itโ€™s a refundable deposit, credit line reduction, or full payment. Organized, exportable, and easy to analyze, it gives you a complete view of your incoming payments.
